Part-time Receptionist – Swindon Office

We are looking for an organised and experienced part-time receptionist to provide an exceptional service to clients, directors and other colleagues in a client facing role.

Role Profile

To assist the Senior Administrator with the day to day running of the reception area and administration tasks in the Swindon office. To provide a professional and harmonious environment for visitors and employees of the company on the phone and face to face, ensuring reception duties are carried out to a high standard.

Reporting to: Senior Administrator, Swindon

Job description

  • Meet, greet and announce visitors to the Swindon office
  • Provide refreshments
  • Answer, screen and redirect calls and forward messages
  • Deal with daily post in and out
  • Maintaining client Customer Relationship Management (CRM) system – adding, updating and removing clients
  • Sending documents for signature and return via Virtual Cabinet Portal
  • Typing correspondence when required
  • Printing, photocopying and scanning as required
  • Assist with deliveries to and from the office
  • Assist with monitoring and topping up stationery
  • Office housekeeping duties e.g. ensure refreshments area is stocked, clean and tidy
  • Ad hoc admin duties as required
  • Be mindful of and adhere to health and safety requirements
  • Be mindful of and adhere to GDPR requirements

Person specification

  • Previous experience in a similar role is preferred
  • Essential: Microsoft Office
  • Preferred: Experience of using CRM systems, client database.

Working arrangements

The working week: 20 hours per week Monday to Friday. Morning or afternoon with core hours spanning 12pm until 2pm
